Supplier Substitution Review Labels And Documents Playbook

Use this before approving an alternate carton, mailer, label, tape, film, or filler as a normal substitute. This playbook is for buyers and operators replacing one packaging SKU with another from a new source or alternate spec.

Packout checklist

  1. Compare dimensions, material grade, adhesive or closure type, compatibility with equipment, and storage requirements.
  2. Confirm materials: thermal labels, label rolls, packing list envelopes, document pouches.
  3. Keep printer media, cleaning cards, and a visible label-orientation sample at the label station.
  4. For supplier substitution review work, treat labels and documents as a controlled operation: define the package spec, stage the right materials, and inspect the first completed orders before volume scales.
  5. Record the approved package size, finished weight, label position, and exception rule.

QA checks

  • Run a side-by-side packout test.
  • Confirm the substitute fits existing storage and replenishment labels.
  • Document when the substitute is allowed and when it is not.

Station setup

Keep printer media, cleaning cards, and a visible label-orientation sample at the label station.
